We are looking for a host for IFM-SEI Congress 2019

IFM-SEI Presidium is looking for IFM-SEI organisations with the enthusiasm, capacity and ability to host the IFM-SEI Congress 2019 in June or July 2019. The IFM-SEI Congress is the highest decision-making body in IFM-SEI and brings together delegates from all of our member organisations and partner organisations from across the globe. It is the opportunity for you to elect your new leadership, amend our core governing documents of IFM-SEI, adopt the new strategy and work plan, discuss political issues and resolutions, and take part in workshops and activities that will shape the future of our movement. Of course it's also the opportunity to meet other members, share good practice and practice internationalism.

Role of the hosting organisation

The responsibilities of the hosting organisation will depend on the host and can be agreed in detail with the IFM-SEI Secretariat, however they would usually be expected to undertake the following tasks:

  • - Arrange the booking of accommodation for three nights for approximately 120 people (plus an extra night for the IFM-SEI Secretariat and outgoing Presidium)
  • - Organise meals and refreshments for the duration of the meeting
  • - Arrange the booking of a suitable venue, including a plenary room and breakout spaces
  • - Coordinate local transport for participants or provide instructions for participants to make their own way to the accommodation/meeting venue(s)
  • - Support the visa application process
  • - Provide necessary materials and technical equipment (e.g. stationery, mains electricity, flipchart stand, projector)
  • - Provide information needed for technical details
  • - Support cultural or social elements of the programme
  • - Be in regular communication with the IFM-SEI Secretariat and adhere to agreed deadlines
  • - Ensure that all costs are within the agreed allocated budget and provide invoices/receipts for all services
  • - Assign a small team of volunteers to support the IFM-SEI Secretariat with the logistics and coordination
  • - (Optional) Arrange the printing of conference materials such as bags, banners and voting cards

Budget and costs

The costs of the IFM-SEI Congress is covered by the core operating costs of IFM-SEI. There is an expectation that the IFM-SEI Congress will be organised on a tight budget and it is not required for delegates to have single rooms or to use a fancy hotel. As a socialist youth organisation, we support the use of youth hostels and cooperatives.

We welcome contributions in kind from potential hosts. If you are able to suggest or offer co-financing for the meeting, we would ask for you to please outline this in your application.

The budget will be set and monitored in partnership with the IFM-SEI Secretariat and all spending should fall within the agreed budget. IFM-SEI can pay costs directly or the host organisation can invoice IFM-SEI after the activity. All costs must be supported by invoices, receipts and bank payment proofs.

 

Are you interested?

If you are interested in hosting the IFM-SEI Congress 2019 meeting and your organisation has the capacity to do so, please send a proposal to the IFM-SEI President (christina@ifm-sei.org) and Secretary General (carly@ifm-sei.org) by 30 September 2018 outlining the following:

  • - Your motivation to host the IFM-SEI Congress 2019
  • - Your suggestion(s) of location and dates/timings
  • - Your relation with the ministry/body dealing with visa processes in your country
  • - Overview of any countries whose citizens would have difficulty in attending because of diplomatic issues
  • - An estimated budget per person (calculated for 80, 100, 120 and 140 people) for:
    • * Accommodation for 3 nights  (plus an extra night for 14 people)
    • * Food and refreshments for the duration
    • * Meeting room hire for 2 full days and breakout spaces
    • * Local transport between the international airport and hotel/meeting venue (if applicable)
    • * Costs for materials
